Join Our Team As A Customer Service Representative/Data Entry

To provide administrative support for sales, from ordering through to delivery for primarily local customers and also export customers, as operationally required.  To be a point of contact for customers with queries and communications.  To build professional working relationships with both customers and suppliers by providing excellent customer service.  To work closely with other staff/departments to ensure a seamless service for customers. To support the Sales Manager in the daily running of the retail store with respect to customer service, revenue generation  when required. The role is expected to work 40 hours per week; 5 days a week which may include Saturdays. 

ROLES & RESPONSIBILITIES

These are the key responsibilities of the job: 

Sales – Chick & Product Orders

  • To record individual orders of chicks and products, along with repeating orders.  
  • Using the accounting software to enter the orders into the order entry system, ensuring that all the relevant information is recorded (customer contact details, delivery date, etc.).
  • Call customers and confirm their orders in advance of delivery.
  • To prepare daily invoices to allow for the daily delivery schedule to be drawn up in a timely manner.  
  • Maintain an accurate ‘reserve list’ and to use the list to ensure fair distribution of any surplus chicks to customers.
  • To create accurate customer quotations for the purchase of chicks and products in a timely manner whether via telephone, fax, mail or email.
  • To manage all communications received relating to customer queries, particularly local customers whether by phone, electronic media or otherwise; responding to queries and redirecting them to the relevant person as necessary.
  • To escalate customer complaints, order issues/challenges and other similar situations to the Sales Manager as required.

Data Entry

  • Enter all orders into system as directed.

General Administration

  • To manage workload effectively and discuss support needs with Sales Manager as required.
  • To ensure that all customer messages are cleared on a daily basis from your assigned mailbox.
  • To communicate important feedback from customers. 

KNOWLEDGE & QUALIFICATIONS REQUIRED

Essential:

Must have completed a secondary school education with O-levels in English and Maths. Minimum of 1 year experience working in a similar sales and retail environment. 

Desirable:

Working knowledge of POS systems.

  • Above average verbal and listening skills; able to communicate well
  • Attention to detail with high levels of accuracy with tasks that are sometimes repetitive
  • Excellent time management skills
  • Team player with a willingness to be flexible
  • Computer literate; competent with Microsoft Word and Excel
